Events, Operations & Campus Development Coordinator

ABOUT THE ROLE

The Center for Rural Livelihoods is seeking a versatile, self-directed Events, Operations & Campus Development Coordinator to help run and grow our community-facing programs and organizational operations. This is a wide-ranging role for someone who thrives on variety — moving comfortably between hands-on event logistics, complex multi-party processes like permitting and campus planning, donor relations, and organizational systems work. The right candidate is highly organized, takes initiative, follows through without being asked twice, and brings genuine care to both the details and the bigger picture.


KEY RESPONSIBILITIES

1. Event Rental & Venue Coordination

  • Coordinate rental agreements, schedules, and logistics with customers

  • Prepare spaces before events and ensure thorough cleaning and reset afterward

  • Conduct site walkthroughs to ensure spaces meet safety and program standards

  • Improve event spaces aesthetically and functionally on an ongoing basis

  • Welcome and orient guests, participants, and community members at program sites

  • Serve as a point of contact during events, responding to needs with professionalism and warmth

  • Coordinate check-in and check-out processes for hosted participants

  • Support outreach and marketing for events

  • Coordinate CRL events hosted at off-campus venues, as needed

  • Fulfill CRL’s role in the Energy to Communities project with Lane County, including vendor coordination, participation in project calls, and supporting public education through events

  • Provide on-the-ground and administrative support for program workshops, including helping staff prepare tools, supplies, and logistics in advance

  • Build and maintain documentation and systems for all event operations

2. Campus Development

  • Help lead the special use permit application process with Lane County for CRL’s 40-acre campus — coordinating research, document preparation, agency communication, and submission

  • Convene the right people and keep the permitting process moving forward, managing timelines and follow-up with county staff, consultants, architects, and planners

  • Shepherd CRL’s internal campus design process: help translate ideas and projects into written, thought-through plans and keep momentum among staff, contractors, and community stakeholders

  • Support additional campus development and land use projects as they arise

  • Maintain organized records of permit applications, design documents, correspondence, and approvals

3. Fundraising & Donor Relations

  • Support the Executive Director in building and maintaining donor relationships 

  • Track donor contacts and giving history; establish and maintain a donor management system

  • Send thank-you communications and acknowledgments in a timely, personal way

  • Help coordinate fundraising events and integrate donor cultivation into existing CRL events

  • Assist with donor outreach and follow-up as directed

4. Organizational Operations & Administrative Systems

  • Track organizational to-dos and action items across projects, following up proactively to ensure nothing falls through the cracks

  • Coordinate vendors and contractors: communicate requirements, schedule work, track completion, and process invoices using an organization-issued debit card with supervisor approval

  • Source and manage supplies and inventory for events, workshops, and program properties; run errands as needed

  • Publish the organizational newsletter — taking text from the ED and other staff and producing a polished, well-formatted final product

  • Assist with social media and online presence to support CRL’s community visibility

  • Build and maintain administrative systems as organizational needs evolve

  • Take on special organizational projects assigned by the Executive Director — the kind of work that requires research, synthesis, judgment, and close collaboration

WHAT WE’RE LOOKING FOR

  • Experience in event coordination, hospitality, property or venue management, or a related field

  • Comfortable managing complex, multi-step processes with care and consistent follow-through

  • Able to move between physical, hands-on work and substantive administrative and organizational tasks

  • Experience working with government agencies, permitting processes, or community planning is a strong plus

  • Friendly, reliable, and able to represent the organization well with a wide range of people — from community members to county officials

  • Self-directed: able to hold multiple workstreams and move them forward without close supervision

  • Valid driver’s license and ability to transport supplies across sites

  • Willing to work with and coordinate volunteers in support of program objectives

  • Availability to work some weekends or evenings when events require it

  • An interest in land stewardship, ecological restoration, or rural community work is genuinely welcomed

COMPENSATION & HOURS

$20/hour. This is a part-time position with up to 20 hours per week, flexing with program activity and seasonal demand. We will work with you to set schedules that reflect the needs of the organization and your availability.
